At Party Pro Manager, we’re always working to improve your experience and streamline your event management process. Today, we want to share an important update regarding the “Payments Recorded Outside of Party Pro Manager” feature, which is being sunset. This change is part of our ongoing commitment to simplifying your workflow while maintaining accuracy and consistency across all events.
Why Are We Making This Change?
The “Payments Recorded Outside of Party Pro Manager” feature was introduced as a workaround when we implemented more strict Event Status validations. These validations required users to ensure that events were in a valid state, such as entering payment records for deposits and final balances before marking an event as “Balance Settled.” However, for users who preferred not to track their payments within PPM, this extra step became an inconvenience. To address this, we allowed users to bypass these validations by enabling the “Payments Recorded Outside of Party Pro Manager” option.
While this feature served its purpose, we’ve now developed a more powerful solution that benefits all users: the new and improved “Event Status Change Wizard“.
Introducing the all-new Event Status Change Wizard
The new Event Status Change Wizard is designed to handle all necessary entries on your behalf when changing an event’s status. This means you no longer have to manually input payment records or worry about whether your event will pass the stricter validation checks. For example, if you change an event status to “Balance Settled,” the wizard will automatically prompt you to confirm so it can record any required payments on your behalf, ensuring your event remains in good standing.
With this new wizard, we’re confident that the need for the old “Payments Recorded Outside of Party Pro Manager” feature is no longer necessary. This enhancement not only simplifies the process but also ensures that all events are accurately tracked, setting the stage for even more powerful automation tools in the future.
What Does This Mean for You?
To ensure a smooth transition, we will be gradually phasing out the “Payments Recorded Outside of PPM” feature:
- New Events: The feature can no longer be activated for new events. All new events will use the Event Status Change Wizard to handle status updates and payment records.
- Existing Events: If you have events where this feature is currently active, it will remain enabled until you manually change the event status. At that point, the Event Status Change Wizard will take over, guiding you through the necessary steps to ensure everything is properly recorded, before deactivating the feature for that event.
- Deactivating the Feature: You can manually deactivate this feature for any existing event. Once deactivated, the change is irreversible, and the Event Status Change Wizard will ensure that the event meets all required validations.
Simplifying and Enhancing Your Experience
This change is about making Party Pro Manager simpler and more accurate for everyone. While the “Payments Recorded Outside of Party Pro Manager” feature was a helpful workaround for some users, the new wizard offers a more robust solution that eliminates manual steps while maintaining strict validation standards.
